Usage of @umd.edu email address
@umd.edu email addresses can only be used with ChatGPT Enterprise. Personal purchases of ChatGPT Plus, Teams, or Pro must use non-university email addresses.
To protect university data and comply with UMD's Acceptable Use Policy, community members must only use @umd.edu email accounts for university business. ChatGPT Enterprise ensures no training on your business data or conversations, whereas Plus, Teams, and Pro may use data for model training. For ChatGPT Plus, Pro, or Teams purchased for individual use with a personal credit card, use a personal email account to sign up.

Account management
Email address restriction: OpenAI does not allow changes to email addresses once an account is created.
Accidental personal accounts: If you created a personal account with your @umd.edu address, you can either:
- Cancel the account and create a new one with a non-university email address
- Request a ChatGPT Enterprise license and migrate according to migration rules
Compliance reviews: The university periodically reviews @umd.edu accounts to ensure proper use of Enterprise resources. Non-Enterprise accounts will be transitioned to Enterprise or canceled based on user preference.

Request an account
To request a ChatGPT Enterprise account, please complete the ChatGPT Enterprise License Request form. When submitting a request, you’ll need to provide a Workday driver worktag (formerly called a KFS account). This is the account used to pay for ChatGPT Enterprise. If you don’t know your worktag, please request it from your department.

NOTE: If you need to use the API, please refer to our knowledge article, Use the API for Chat GPT. Using the API does not require filling out the ServiceNow form or purchasing a monthly license.
Login
Use your university email address in the main email login box at ChatGPT. You will be redirected to CAS to log in, or you can choose UMD SSO.
Provisioning
DIT's Software Licensing team will provision the license.
Billing
Software Licensing will transfer funds from the account linked to your driver worktag. As part of a DIT discount, your monthly charge will be $20 until July 1, 2026. After that date, the rate will adjust to $30 per month.

Migrate data from Plus/Team to ChatGPT Enterprise
NOTE: If you have issued API keys with Teams/Plus, they should be re-issued before migration.
- Accept the ChatGPT Enterprise Invitation.
- Log in to your current account.
- Click on the UMD symbol in the top right to navigate to your Profile menu.
- Click Settings.
- Click Data Controls.
- Click Merge data from your personal workspace.
- This will initiate the migration process, moving all your existing chat history, GPTs, and other data to the Enterprise workspace.
- Follow the prompts to confirm the migration.
CRITICAL: Time-sensitive data export
Your export link expires in 24 hours. After this window, your data will be permanently lost as OpenAI maintains no backups.
Action required: Download your data immediately using the link provided in your email.

NOTE:
- This process is irreversible
- At this time, merging data from a Team collaboration workspace into our Enterprise workspace is not possible. See the bottom of this help article. The team workspace will remain separate and accessible after your @umd.edu accounts are moved to Enterprise, provided you continue paying for it separately. GPTs created in the team workspace must be manually moved to the enterprise workspace.
- Your personal workspace, including plugins and custom instructions, will be deleted.
- If you have a Plus subscription, it will be automatically canceled, and you will receive a refund for the remaining portion of your subscription.
- If you have a Teams workspace, it will not be canceled, and you will continue to be billed for it until you manually cancel it.
- Mobile subscriptions need to be canceled manually.
- If you lose access to your Enterprise workspace, you will lose access to all the migrated data. You will be redirected to a new personal workspace without existing data.
- Suppose a user with an existing API account migrates to an Enterprise account. In that case, user API keys issued under their original API account will be accessible by logging into the enterprise account and switching to their personal account.
- All credits will remain available and accessible when switching to a personal account.
- These API keys are not transferable to the enterprise account. You can and should create new project API keys in your project’s enterprise organization once you have used up credits on your previously issued personal API keys.

UMD settings for ChatGPT Enterprise
The following settings are configured on our UMD ChatGPT Enterprise Instance.
- Sharing: Chats can be shared with other members of the UMD ChatGPT Workspace.
- Memory: Members can enable memory for ChatGPT to remember details.
- Retention Policy: Chats will be retained indefinitely unless you delete them; they will no longer be automatically deleted after a set period.
- Connected Apps: Users can connect apps to seamlessly upload files to their conversations.
Connectors for enhanced productivity
ChatGPT Enterprise integrates university data sources directly into AI workflows through powerful connectors. Access real-time institutional content for enhanced collaboration and decision-making across campus operations.
- Available connectors: Gmail, Google Calendar, and Google Drive. All connectors must be approved by Security as part of the Software Risk Management (SRM) Process.
- Setup and usage: For detailed instructions on authenticating and using connectors, visit OpenAI's Connectors Guide.
- Data classification warning: While ChatGPT Enterprise supports Level 3 data, exercise caution with custom connectors or any connectors that write data to external systems. Verify that destination systems support appropriate data classification levels before enabling connectors that could transmit sensitive information. Consult the UMD Data Classification Standard for guidance.
- Key benefits: Instant document retrieval, cross-platform information synthesis, and automated report generation using real university data. Connectors respect existing permissions, ensuring secure access to authorized content only.

Cancel an account
To cancel a license, please fill out the ChatGPT Enterprise License Request form and select Remove users from an existing License from the first dropdown. Contact software-licensing@umd.edu with any questions.

Data retention after account cancellation or deprovisioning
The University of Maryland ChatGPT workspace currently has an indefinite data retention policy, meaning there is no time-bound retention period in place. When a user is removed from the UMD ChatGPT workspace, their chats, files, and canvas documents are retained in accordance with the workspace’s current indefinite retention policy. If the user is re-added to the workspace before the associated data is deleted, access to the relevant retained content should be restored.
