Manage and Create a Google Group, Shared and Service Account in SIMS

Manage Google Groups, Shared and Service account under Identities You Own from the SIMS homepage. For Groups, Shared or Service Accounts, begin by

  1. Going to the SIMS homepage.
  2. Click the System drop-down menu.
  3. Select Google.

You can Renew, Rename, Modify, and Delete existing identities and create a new Google Google group.  SIMS is only available to Faculty and Staff of pre-approved departments on campus.

NOTE: If the account is created or modified in SIMS, it shows in Grouper. If the account is created or modified in Grouper, it does not show in SIMS. For example, if you're added as an admin to a Google group, you will not see it in SIMS, only Grouper.

Create a Google Group

Note: Google Groups may only be created by staff or faculty. Student organizations that require a Google Group must have them created by a sponsor.

  1. Click Request next to GAFE Group located in the Request New identity section.
  2. Complete the fields.
    • Group Name (Directory ID) does not imply entering your Directory ID. It is the Directory ID of the group.
      The directory ID for the group should be something that will identify the group, such as abc-undergrads, abcdept-leads, xno-lab-group. Groups have an email address, based on this directory id:  groupdirID@umd.edu, for example.
    • Display Name.  Something descriptive, but not too long, that will identify the group:  ABC Undergrads, Leads for ABC Dept, XNO Lab members, for example.
    • Description. A description for the group.  This can be the same as the Display Name.
    • Primary Owner.  This is the directory ID for the primary owner for the group.
    • Additional Owners.  Additional owners that can use SIMS to manage the group; directory IDs separated by commas, no spaces:  dirid1,dirid2,dirid3, as an example.
  3. Click the Submit Create Request button.
    • The group request will be approved momentarily.

You can edit the Description, Owner, Additional Owners, or Display Name.

Google Shared

Create a Google Shared Account

  1. Click Request next to GAFE Shared Account located in the Request New identity section.
  2. Complete the fields.
    • Account Name (Directory ID) does not imply entering your Directory ID. It is the Directory ID for the shared account.
      The directory ID for the account should be something that will identify the account, such as abc-frontdesk, abcdept-leads, xno-lab-group. This is an email address, based on this directory id:  groupdirID@umd.edu, for example.
    • Display Name.  Something descriptive, but not too long, that will identify the account:  ABC Front Desk, Leads for ABC Dept, XNO Lab members, for example.
    • Description. A description for the shared account.  This can be the same as the Display Name.
    • Primary Owner.  This is the directory ID for the primary owner.
    • Additional Owners.  Additional owners that can use SIMS to manage and accept emails for this account; directory IDs separated by commas, no spaces:  dirid1,dirid2,dirid3, as an example.
  3. Click the Submit Create Request button.
    • The shared account request will be approved momentarily.
  4. Visit Access a Shared Account for more information for how to access.

You can edit the Description, Owner, Additional Owners, or Display Name.

You can edit the Display Name, Description, Owner or Additional Owners. Owners and Additional Owners are known as ‘delegates’, or who can access the account.
This is also where you can convert the account to s Service Account.

    • Display Name.  Something descriptive, but not too long, that will identify the account:  ABC Email Reply, Drupal responses ABC Dept, for example.
    • Description. A description for the service account.  This can be the same as the Display Name.
    • Primary Owner.  This is the directory ID for the primary owner.
    • Additional Owners.  Additional owners that can use SIMS to manage and accept emails for this account; directory IDs separated by commas, no spaces:  dirid1,dirid2,dirid3, as an example.
  3. Click the Submit Create Request button.
    • The group request will be approved momentarily.
  4. Visit Request and Manage Service Accounts for more information.
  5. You can edit the Display Name, Description, Owner or Additional Owners. This is also where you can convert the account to s Shared Account. If it is converted to a Shared Account, the Owner and Additional Owners become delegates for the account.
