Google Shared Drives lets you secure sensitive data with Sharing settings. These sharing settings specify whether files can be:
- Shared with users outside of the UMD domain
- Shared with users who are not a member of the Shared Drive
- Downloaded, copied, or printed by commenters and viewers.
To modify your Shared Drive Sharing settings, you must have a UMD Google account and full access to the appropriate Shared Drive. |
Follow the steps below to:
Change how a single file can be shared
- Log into your UMD Google Drive.
- Click Shared Drives.
- Click the file you want to change.
- Click Share or the Share icon to open the Share window.
- Click Who has access.
- Click Restrict download, print, & copy actions on this file for commenters and viewers.
- Click Done.
Change how your Shared Drive files can be shared
- Log into your UMD Google Drive.
- Click Shared Drives.
- If you manage multiple Shared Drives, double click the name of the appropriate Shared Drive.
- Your selected Shared Drive will open. Click the name of your Shared Drive and select Shared Drive settings from the drop down that opens.

- Click Edit next to the setting you want to change.

More about Shared Drive Sharing settings
- Shared Drive sharing settings can take precedence over security or sharing settings for a file. This may allow some members and non-members to view the location of a secured file without being able to open the file.
- Shared Drive sharing settings do not override security or sharing settings of a file. For example: If a file stored in a Shared Drive has not been shared with Shared Drive members, the members will be able to view the location of the file but unable to open the file.
- Files will only be protected by Shared Drive sharing settings while in the Shared Drive. Shared Drive members and non-members may gain or lose access to documents if a manager changes the Shared Drive settings or moves the file.
